Record the room brief and conditions

List intended uses, occupants, sequence of use, selected and optional components, circulation, privacy, storage, adjacent spaces, desired finish boundaries, delivery constraints, and whether the work is new construction or a retrofit. Mark existing conditions as verified, reported, or unknown rather than converting assumptions into scope.

Attach the current plan, available surveys or field measurements, photographs where appropriate, and the decisions still requiring project-specific input. The checklist is a coordination record, not a permit set, design document, or technical specification.

Assign every building interface

For structure, assemblies, water, drainage, ventilation, electrical work, controls, finishes, delivery, installation, and service access, identify who designs, supplies, installs, connects, tests, documents, and maintains each item. Note any interface with no named owner or more than one party claiming it.

Use qualified project professionals and applicable requirements to determine the project-specific solution; this checklist does not select assemblies, equipment, or code compliance measures.

Normalize proposal assumptions and handover

Ask each proposing team to identify inclusions, exclusions, allowances, alternates, owner-provided work, investigation allowances, schedule dependencies, change triggers, and the coordination lead. Use the same brief and checklist for each proposal before comparing scope or totals.

Before closeout, identify commissioning or start-up responsibilities, equipment documentation, controls, access for service, warranty handoff, owner information, and unresolved work. The record does not establish prices, delivery times, provider capabilities, or warranties.
